The purpose of this privacy policy (hereinafter the “Policy”) is to help you understand how we manage and protect Personal Information in the course of our activities and within the limits of the Act respecting the protection of personal information in the private sector (the “Act”).

 

SCOPE

The Policy applies to Personal Information (as defined below) about users of the http://www.solutioncondo.com/ website (hereinafter the “Website”).

The Policy also applies to Personal Information about our customers, contractors and job applicants.

This information will only be collected, used and communicated for the purposes specified in this Policy.
  • Solution Condo's access to your Personal Information is strictly limited to those employees for whom such Personal Information is necessary for the performance of their duties and/or the accomplishment of their tasks.
  • Solution Condo recognizes that the communication of your Personal Information to third parties requires your consent except in the cases described in this Policy or when otherwise authorized and/or required by the Act or any other legislative provision.
  • Solution Condo retains your Personal Information only as long as necessary to fulfill the purposes for which it was collected in accordance with this Policy.
  • Solution Condo strives to ensure that your Personal Information is accurate, complete and up to date, but you have the right to rectify it as specified in this Policy.

 

ACCEPTANCE AND CONSENT 

BY USING THE WEB SITE OR BY COMMUNICATING YOUR PERSONAL INFORMATION TO OUR REPRESENTATIVES, YOU CONSENT TO ITS COLLECTION, USE, DISCLOSURE AND RETENTION IN ACCORDANCE WITH THIS POLICY. 

Depending on the nature and sensitivity of your Personal Information, your consent may be express (such consent may be given verbally, in writing or electronically, for example, by checking a box confirming your consent or by signing a form requesting your consent) or implied (when you voluntarily provide Personal Information, for example, by completing a form).

Except where otherwise provided by Law, you may withdraw your consent at any time, upon reasonable notice to Solution Condo. Please note that if you choose to withdraw your consent to the collection, use or disclosure of your Personal Information, certain features of our Website and/or certain services may no longer be accessible or available to you.

 

PERSONAL INFORMATION COLLECTED, MEANS AND PURPOSES OF COLLECTION

“Personal Information” means any information relating to a natural person that allows, directly or indirectly, that person to be identified.

If we collect other Personal Information on an ad hoc basis as needed, we will seek your consent in accordance with this Policy.

 

  1. Property management

    When you visit the Website, you provide us with two types of information: on the one hand, personal information that you have voluntarily chosen to reveal and that we collect, and on the other hand, so-called non-personal data that we collect in connection with the use of the Website.

    Solution Condo collects the following Personal Information:

    • Identification information: first and last name;
    • Contact information: mailing address, telephone number and e-mail address;
    • Other information about the Syndicat de copropriété

    We may also collect other information that you submit when you request information about our products and services (quotes, assistance, etc.) on our Website.

    In addition, Personal Information may be collected during telephone conversations and/or e-mail exchanges with our representatives. It may also be collected via the UpperBee platform (https://upperbee.com/fr/politique-de-confidentialite). 

    This Personal Information is required for the following purposes:

    • Establish and maintain our relationship with you and provide you with ongoing service;
    • Obtain statistics on your satisfaction;
    • To send you notices and information;
    • Provide you with services through third parties; and
    • To meet legal requirements.

       

  2. Human Resources

Solution Condo's Human Resources Department collects the following categories of Personal Information from employees:

  • Identification information: first and last name, date of birth, photo, identification (notably for initial identification of an employee and in the event of an accident or work stoppage), SIN;
  • Contact information: postal address, e-mail, emergency contact phone number;
  • Medical information: vaccination information related to COVID, information related to work-related accidents and illnesses that occurred during the employment relationship with Solution Condo;
  • Academic and employment history: information generally provided in a resume, cover letter and/or academic diploma(s); and
  • Financial information: specimen cheque (for payroll purposes).

This Personal Information may be collected via technological platforms dedicated to human resources and payroll management, or via external recruitment firms for information generally provided in a curriculum vitae.

With regard to job applicants, we collect Personal Information generally provided in a résumé, such as a list of jobs held during the applicant's career, as well as identification and contact information such as first and last names, telephone numbers and e-mail addresses. Subsequently, the other Personal Information listed above is collected as it becomes necessary to advance the hiring process.

 

COOKIES

Your use of the Web Site allows us to automatically compile certain information, known as cookies, which may include:

  • The Internet Protocol (IP) address of your computer;
  • Your geolocation zone;
  • Your operating system;
  • Language preference;
  • The identity of your Internet service provider;
  • The date and time you accessed the Website;
  • The previous Web site you visited that provided you with a link to our Web site; and

The security of your Personal Information is a priority for us. We have put in place reasonable safeguards appropriate to the sensitivity, use, amount, distribution and format of your Personal Information.

In the course of our activities, we do not communicate your Personal Information to third parties outside Quebec.

  • The purpose for which it will be used;
  • The safeguards available to protect it; and
  • The legal regime applicable in the country where the Personal Information is to be disclosed.

We will only disclose Personal Information if this assessment demonstrates that the Personal Information will be adequately protected in accordance with generally accepted privacy principles. In addition, any such disclosure will be subject to a written agreement that considers all the findings of the assessment.

 

RETENTION

We retain Personal Information only as long as necessary for the fulfillment of the purposes for which it was collected, except where legal requirements or contractual interests recognized by law require us to retain it for a longer period. We also reserve the right to establish Personal Information destruction policies from time to time.
